Field and laboratory job scheduling
Context
Field sampling and lab work have to align with the same projects and cost centers that finance uses. A calendar outside the ERP means phone calls, unclear task status and needless retyping.
The starting point
The laboratory needed one way to schedule field visits and lab work across departments. Projects, customers and cost centers lived in the ERP, while the calendar and technician assignments sat outside it. Task status was unclear and change notifications were unreliable.
Our approach
We started from a shared model of projects and cost centers. The calendar, permissions and notifications follow the data the company already manages in its ERP and Active Directory, instead of creating a parallel world.
What we delivered
We built a web portal with a team calendar and technician agendas, a status workflow (assigned, completed, rejected, cancelled) and access based on roles and cost centers. A nightly sync pulls master data from the ERP, including Active Directory users. Email notifications and an audit trail of integration runs are included.
Solution scope
The solution covers the team calendar and individual agendas, assignment states, permissions by role and cost center, sync of partners and projects from the ERP, and notifications whenever a task changes. Managers and technicians work with the same data as the rest of the company.
How it works in practice
Managers plan site visits and lab work in the calendar, technicians see their agenda and update task status. A rejected or cancelled task goes back for rescheduling. Changes trigger notifications, and the master-data sync runs in the background with a full audit trail.
Outcome
Work is planned in one place, on the same projects and partners as in the ERP. Managers and technicians see where every job stands, and manual coordination between departments has dropped.
Summary
The laboratory now has a tool that ties daily planning to enterprise data, with no phone relays and no projects kept twice.
